Privacy Policy

Governing law is unspecified. The page below uses a layered structure, consistent with ICO transparency guidance and OTA-style privacy notices that distinguish direct collection, automated collection, contact-centre data, booking fulfilment, marketing and legal rights.

A travel-agency privacy page has to cover more than ordinary e-commerce because booking data includes itinerary details, identity data, passport or document data where required for travel, payment data, customer-service interactions, contact-centre recordings, fraud-prevention data and behavioural data generated by search and checkout activity. ICO guidance stresses that a proper privacy notice should tell users what data is collected, for what purposes, for how long, and with whom it is shared. Modern travel sites frequently disclose customer-service collection, automatic tracking, third-party supplier sharing, targeted advertising and cross-site tracking, and rights requests.

ReservationEase is operated by Hydra Travels Inc. ReservationEase is an independent travel agency and not an airline. This Privacy Policy explains how Hydra Travels Inc collects, uses, stores, shares, retains and otherwise handles information in connection with ReservationEase websites, booking flows, service emails, call-centre interactions, assisted-booking channels, promotions, support requests and related services. This page should be read together with the Cookie Policy, Fare Disclosure page, Fulfillment Policy and any jurisdiction-specific notice that Hydra Travels Inc may later publish.

Hydra Travels Inc collects information directly from users, automatically from devices and browsers, from payment and fraud-prevention partners, and from travel suppliers or technology providers involved in completing a requested booking or supporting related customer service. Information collected directly may include passenger names, dates of birth, contact details, billing address, itinerary preferences, passport or travel-document information where necessary for international travel, emergency contact details where volunteered, loyalty programme details, special-service requests, payment details, and records of communications with Hydra Travels Inc. Information collected automatically may include device identifiers, browser type, IP address, approximate location inferred from technical data, search behaviour, page flow, clickstream, error logs, booking-abandonment signals, and traffic-source data. If a customer contacts Hydra Travels Inc by telephone or chat, the conversation, metadata or transcript may also be retained for quality assurance, fraud prevention, dispute handling and training.

Hydra Travels Inc uses personal information primarily to provide the services requested by the user. That includes displaying travel options, collecting passenger information, securing payment authorisation, preventing fraud, issuing or requesting tickets, sending booking confirmations, handling changes and cancellations, responding to support queries, and communicating service-related updates. Information may also be used to maintain accounts, personalise the website, remember preferences, improve the booking experience, analyse website performance, develop products, prevent abuse, comply with legal obligations, establish or defend claims, and market relevant services where the business has an appropriate legal basis or the user has made a relevant choice.

Where required to complete a booking, Hydra Travels Inc shares relevant data with airlines, GDS or airline-content systems, payment processors, risk and fraud vendors, customer-service vendors, email or messaging providers, marketing service providers, analytics providers, technology integrators and, where lawfully required, regulators, courts, law-enforcement bodies or other competent authorities. Travel suppliers receiving the data for fulfilment may process it under their own privacy notices and operational rules. Hydra Travels Inc does not become the controller of data processed independently by an airline once the data is passed to that airline for ticketing, check-in, security or operational carriage purposes.

Hydra Travels Inc may also use certain information for advertising, measurement and personalisation. This may include showing route or destination offers based on prior browsing, building suppression lists so that customers are not shown irrelevant repeat ads, measuring whether advertisements lead to bookings, and helping to understand the effect of marketing campaigns. Where applicable law provides opt-out rights for targeted advertising, sale, sharing or cross-context profiling, Hydra Travels Inc should provide an accessible mechanism for users to exercise those rights. Where specific legal regimes require additional notice, Hydra Travels Inc may publish a supplemental state, regional or country notice rather than rewriting this core page for every location.

Hydra Travels Inc should not intentionally require users to provide information that is unnecessary for the legitimate booking or support purpose at hand. Payment-card data should be handled through secure checkout architecture and should not be requested over insecure channels. Sensitive or special-category data should be requested only where strictly needed to perform an explicit travel service, such as a wheelchair request or a meal preference that could imply religious practice. Where a traveller provides information about another traveller, the person making the booking should confirm that they have authority to do so and to allow Hydra Travels Inc and the relevant supplier to use that information for fulfilment and support.

Hydra Travels Inc retains information for as long as reasonably necessary to provide the service, comply with payment and accounting obligations, prevent fraud, answer disputes, preserve records relevant to refunds, chargebacks or regulatory requests, and exercise or defend legal claims. Different categories of data may have different retention periods. Booking records connected to completed travel, cancellations, open credits, tax or financial reporting, or unresolved customer-service issues may need to be retained longer than marketing preferences or raw web-session logs. When information is no longer required, Hydra Travels Inc should delete it, anonymise it, or otherwise put it beyond practical use, subject to backup and legal-retention constraints.

Individuals may have rights under applicable law to request access to personal data, correction of inaccurate data, deletion of data, limitation of processing, portability, objection to certain processing, or review of the use of data for targeted advertising. Hydra Travels Inc may need to verify identity before fulfilling a request. If a data request affects an active booking, the company may also need to keep enough information to complete the transaction, prove whether it was authorised, or meet obligations to airlines, payment processors or regulators. Hydra Travels Inc should therefore explain that some deletion requests cannot be fully actioned before open matters are resolved.

Where ReservationEase is used outside the country in which a booking is made, or where infrastructure providers operate across borders, personal data may be transferred to and processed in jurisdictions other than the customer’s home jurisdiction. Because the governing law for ReservationEase has been left unspecified in this project, this page should frame such transfers functionally rather than by asserting a single legal regime. The correct public wording is that data may be processed in multiple jurisdictions where necessary to provide travel services, support operations, host systems or meet legal obligations, and that Hydra Travels Inc will use appropriate safeguards where applicable law requires them.

Hydra Travels Inc takes security seriously but cannot honestly promise absolute security. The correct statement is that reasonable technical, organisational and administrative safeguards are used, including least-privilege access, payment-security controls, authentication measures, audit logging, service-provider controls and fraud monitoring, but no online transmission, device, network or storage environment can be guaranteed to be completely secure. Users should therefore be encouraged not to email full payment-card numbers or other highly sensitive information through insecure communications.

ReservationEase is not directed to small children, and Hydra Travels Inc does not intend knowingly to collect personal information from children who cannot lawfully provide it. Because travel bookings frequently involve adults entering data for children travelling on the same booking, the page should distinguish between intentional marketing or account use by minors and ordinary family travel bookings where an adult provides the child passenger’s details for fulfilment purposes.

Hydra Travels Inc may update this Privacy Policy to reflect operational, legal or technical changes. The version in force at the time of the user’s interaction should be accessible from the website footer and from any paired notice, such as the cookie banner or checkout disclosure. Material changes should, where appropriate, be accompanied by an updated “last updated” date and, if legally required, a renewed notice or consent mechanism.

Rights-request clause

To protect customers and travellers on the same booking, Hydra Travels Inc may request additional information to verify identity before acting on an access, correction or deletion request. Where the request concerns an active or recently resolved booking, certain records may need to be retained until the transaction, refund window, chargeback risk or legal-retention requirement has ended.
